Do I have to tell the client it's AI, or just that I'm recording? Tell them both, in plain language — that you're recording, and that a tool drafts your note from it. The exact words to use are in our consent guide, free for anyone.
Is a verbal yes enough, or does consent go in the chart? Both. Ask out loud before you record, and write one line in the chart noting that you asked and what they said. The consent guide has exact wording for both.
Can the recording be subpoenaed? The audio is held only briefly, in an encrypted, access-restricted store. Deletion is requested once processing reaches a confirmed final state, with a one-day storage lifecycle rule as a backstop if that fails or a recording is never submitted. What remains is the note you reviewed and approved, same as if you'd typed it yourself.
Does a client have the right to refuse? Yes, always. Say thank you and don't record — that's a complete and correct outcome, and it doesn't affect anything else about the session.
Accuracy & your responsibility
How accurate is it with accents, soft-spoken clients, or telehealth audio? We haven't published an accuracy number, and we won't make one up — transcription quality varies with audio conditions like any speech-to-text system. That's exactly why you read and approve every note before it's used: the review step, not a claimed accuracy rate, is what keeps a rough patch of audio from becoming a wrong note in the chart.
What if the note says something the client didn't say? Every clinical assertion is meant to trace back to the transcript — it doesn't invent details to round out a section. If you ever see one that doesn't hold up, edit it before you file, and tell us at hello@notescreen.ai — that's exactly the kind of report that makes it better.
Does a session with more than one person confuse it? Couples, family, and group sessions all record the same way — ask everyone in the room for consent (the consent guide covers this), and the note comes back the same way any session does: a draft for you to review.
Am I still the author of record? Yes. Nothing files itself. You read every note, change anything, and approve it before it goes anywhere — the same responsibility you have for a note you typed yourself.
Practical
What happens to my notes if I cancel? Any note still in your queue can be downloaded — one at a time, or all of them together — from the Notes screen while you're signed in. Do this before you cancel: once your subscription ends, you lose access to the app and any notes still waiting there. Filed and discarded notes are deleted the moment you file or discard them, at any time — not just after cancellation — so there's never anything to export once a note has already gone into your EHR.
Does it work on a phone or tablet? The app can be added to your phone's home screen. Recording and getting your note back both need an internet connection — Note Check's free tool works fully offline since everything happens in your browser, but Scribe's recording has to reach our BAA-covered processor to become a note.
What if my internet drops mid-session? A recording is protected two independent ways while it's happening — an encrypted backup on your own device, and encrypted streaming to the same BAA-covered processor that will transcribe it — so a dropped connection or a closed laptop shouldn't cost you the session. Detail in the privacy policy.
